Ample Joy ABA Consulting Services, LLC is seeking an ABA Scheduler & RCM Assistant to join the team! The ideal candidate will collaborate and be the liaison between families and staff ensuring proper authorization verification and scheduling children and families accordingly with their respective ABA services.

Responsibilities include but are not limited to –

  • Assist in setting and regularly updating schedules for about XX families and XX staff (Scheduling ABA sessions/meetings and providing patients’ families with necessary information, as well as knowledge of existing lines of communication and authority, handling communications properly with dependability and cooperation)
  • Verify insurance coverage and benefits for families prior to providing ABA services. Obtain pre-authorizations or pre-certifications as required by insurance companies to ensure coverage for ABA treatment.
  • Communicate with clients, caregivers, insurance companies, and other stakeholders regarding billing inquiries, payment status, and insurance-related matters. Provide support and assistance to clients navigating insurance coverage for ABA treatment.
  • Handle incoming calls, messages and emails from families and staff while providing excellent customer service.
  • Work collaboratively with the families and clinical team to support day-to-day operations (including finding last-minute coverage and/or re-routes within a very short time window, taking phone calls, responding to emails in a timely manner, updating logs and records, etc.)
  • Work collaboratively with human resources and the clinical team to coordinate staffing and scheduling of therapists with clients
  • Interface with clients as needed to facilitate smooth scheduling operations
  • In collaboration with the clinical team, generate flexible reports on the scheduling status of cases and contract fulfillment
  • Track and manage staff and client cancellations and coordinate coverage or make-up sessions
  • Collaborate with the team to send out client’s monthly calendars in a timely manner
  • Support clinicians and clients with day-to-day scheduling issues for efficient daily scheduling operations
  • Perform other duties and responsibilities as assigned

Bilingual: English/Spanish a plus!

Requirements

Required Credentials
  • Minimum of 1-3 years of ABA scheduling and insurance billing experience in ABA industry preferred
  • High School diploma/bachelor’s degree or higher in a relevant field
  • Strong customer service skills, proactive approach, and strong work ethic
  • Effective organizational and time management skills are critical to manage multiple tasks, prioritize workload, and meet deadlines in a fast-paced environment
  • Highly organized and extremely detail-oriented
  • Strong problem-solving skills and ability to collaborate in a team environment
  • Excellent interpersonal and communication skills
  • Friendly and approachable attitude
  • Drive to take initiative, and strong ability to self-manage
